It is extremely unlikely that a lecture would have to be cancelled but the bad weather a week ago made us think that we should check that our emergency procedures were up to date. As the hall is on a busy road and bus route and near the centre of town, bad weather is not likely to cause its closure. The surrounding roads and car parks are of course are a different matter.

Possible reasons

  1. Hall closed by the Masonic hall team for internal reasons e.g. no electricity, blocked drains

Hall staff will

  • Notify our Chairman and our safety officer urgently
  • Post a note on their website

Action by committee members

  1. Web master to post notice on web site
  2. Membership secretary to email all members with an email address
  3. Members not on email to be contacted by a member of the committee
  4. Programme secretaries to contact lecturer
  1. Adverse weather g.
  • The hall not accessible due to snow, ice, standing water or similar

Action by committee members

  1. Web master to post notice on web site
  2. Membership secretary to email all members with email addresses
  3. Members not on email to be contacted by a member of the committee
  4. Programme secretaries to contact lecturer
  5. Hall to be notified that meeting is canceled  by chairmen
  • Speaker unable to get there

Committee to make a decision as to whether an alternative programme can be run and inform members accordingly as above if to be cancelled.

  • Surrounding areas snow covered, icy etc.

It is assumed that in bad weather, such as snow and ice, it is unlikely that many members will attend. Members will make their own decision depending the local conditions.

  1. Members unsure if the lecture or event is on
